The Sales Administrator provides administrative support to the Systems and Tunable Filter Product Lines.

PRIMARY DUTIES AND RESPONSIBILITIES:

·        Supports general internal business activities, including:

o   delivers timely responses to customer requests for catalog based quotations and product/capabilities information.

o  reviews opportunities to ensure documentation is attached and that appropriate fields are populated and accurate for each quote in our Customer Relationship Management (CRM) tool

o  coordinates with operations to determine estimated delivery time for products during the quoting process

o  scheduling meetings and customer visits

o  assists program management with periodic reports, customer submissions, or other requested assistance.

o  assists engineering with change order preparation

o  involvement in document incorporation

·        Coordinates the use and maintenance of sales demonstration and evaluation units.

·        Prepare and distribute periodic reports including:

o  Customer Sales Data

o  Representative Sales Data

o  Departmental Metrics

·        Suggests improvements to streamline activities

·        Coordinates content maintenance on internal and external website including:  all corrections, collecting and adding new content, managing links, and updating news

·        Internally expedites rejections and approvals for change orders and customer orders and ensures the process comes to closure in a timely manner

·        Assist inside sales with the coordination and review of new design concepts & graphics for trade show booths or other marketing materials

·        Assist inside sales with trade show logistics such as shipping booths, products, collaterals, and ‘give a-ways’ to the shows.

·        Serves as aback-up for the receptionist position on a rotating lunch basis and when the receptionist is out of the office

·        Coordinates luncheons

·        Completes other clerical duties as assigned by a member of the product line management group

KNOWLEDGE, SKILLS AND ABILITIES:

·        Superior attention to detail, accuracy and ability to self-check work required

·        Self-motivated and enjoys variety in day to day activities

·        Excellent organization skills required

·        Ability to understand and master ERP systems

·        High level of proficiency in MS Office software, especially Excel, Word and PowerPoint required

·        Proficiency with Adobe Acrobat required

·        Excellent written communication skills, both written and oral.

·        Excellent interpersonal skills and ability to interface with internal or external customers is required

·        Ability to interact with external business contacts, customers and potential customers in a responsive,professional and courteous manner.

·        Ability to learn new skills and competencies, as required

QUALIFICATION REQUIREMENTS:

Education and/or Experience:

·        High school diploma or GED required

·        Must be a US person

·        Microsoft Office Specialist Expert in Excel 2010 required, or equivalent  

·        Microsoft Office Specialist in Word and PowerPoint a plus, or equivalent

·        Previous experience with an ERP system is a plus            

·        Previous experience with military contracts is a plus

WORK SCHEDULES:

  • Normal work hours are 8 am to 5 pm Monday through Friday with an alternate option of a 9/80 schedule if preferred
  • Lunch period is one hour per day, unpaid.
  • Occasional domestic travel may be required.
